problem

The OMSB (Order Management System Backend / CRM-based platform) currently faces significant usability and efficiency challenges that impact operational workflows and user productivity. The system is primarily used by internal teams to manage customer data, track orders, and generate reports, but its existing interface and experience are not optimized for modern user needs. Users struggle with complex navigation, lack of intuitive information hierarchy, and inefficient workflows, which result in increased task completion time and higher chances of errors. Key features such as order tracking, customer management, and reporting are not seamlessly integrated, leading to fragmented user journeys. Additionally, the platform lacks responsive design, consistency in UI components, and data visualization clarity, making it difficult for users to quickly interpret critical information and make informed decisions.

solution

The solution for the OMSB project focused on redesigning the platform using a user-centered and data-driven approach to improve usability and efficiency. Based on user research and stakeholder inputs, the system’s information architecture was restructured to simplify navigation and reduce complexity. Key workflows such as order management and customer onboarding were optimized by minimizing steps, introducing automation like autofill and bulk actions, and eliminating redundant processes. A centralized dashboard with clear data visualization was designed to provide quick insights and support better decision-making. Additionally, a consistent design system was implemented to ensure uniformity across the platform, along with responsive layouts and improved accessibility. Through prototyping and usability testing, the solution was refined to address real user pain points, ultimately enhancing productivity, reducing errors, and delivering a seamless user experience.

The OMSB project started as one of those systems everyone used daily—but no one really liked. When I first looked at it, it felt heavy, cluttered, and confusing. During conversations with the operations team, I noticed a pattern: people weren’t just slow—they were mentally exhausted using it. Simple tasks like tracking an order or updating customer details took multiple steps, and users often kept notes outside the system because they didn’t trust they’d find things easily again.

One moment stood out. A team member showed me how she handled order updates—switching between multiple tabs, copying data manually, and double-checking entries to avoid mistakes. What should have taken a minute was turning into a 10-minute process. That’s when the real problem became clear: it wasn’t just a UI issue, it was a workflow problem affecting productivity and confidence.

I began by mapping out the entire user journey and identifying friction points. Then I restructured the system—simplifying navigation, grouping related features, and reducing unnecessary layers. The goal was to make the platform feel predictable and intuitive. I redesigned key workflows like order tracking and customer onboarding, cutting down steps and introducing smart features like autofill and bulk actions.

The biggest shift came with the dashboard. Instead of scattered data, I created a centralized view with clear KPIs and visual indicators so users could instantly understand what needed attention. Alongside this, I built a consistent design system to bring uniformity and clarity across all screens.

After testing the new designs with users, the difference was visible. Tasks were faster, errors dropped, and users no longer felt the need to rely on workarounds. The system finally started supporting them instead of slowing them down. What began as a frustrating tool turned into a streamlined experience that improved both efficiency and user confidence.
